Your key accountabilities include:
- Calendar Management: Coordinate schedules and ensure awareness of upcoming commitments. Handle any conflicts or scheduling issues that arise.
- Meeting Coordination: Arrange meetings and ensure all necessary materials are available. This also includes coordinating with other departments or external partners.
- Event Planning: Plan and organize big and small events from pure business to team events.
- Travel Arrangements: Plan and organize business travel, including flights, accommodations, and itinerary. Handle any changes or issues that arise during travel.
- Onboardings: Welcome new joiners and be the contact point for first administrative questions.
- Confidentiality: Handle sensitive information with discretion.
- Project Management: Assist with or manage specific projects as directed.
- Communication: Act as a point of contact between other departments or external contacts.
- Apply Best Practices: Provide input for modifications and improvements in administrative support processes and systems to increase effectiveness and efficiency.
- Support the Team: Assist the entire team in organizing training and events across the globe.
- Ideally prior experience as an Executive Assistant.
- Exceptional organizational skills and the ability to thrive in a fast-paced setting.
- A proactive mindset demonstrated in your work approach.
- Experience with domestic and international travel co-ordination & expense management
- Creative problem-solving abilities.
- Flexibility and adaptability in your work style.
- Proficiency in tools like PowerPoint, Viva Engage, and other communication platforms.
- Willingness to assist the entire team in organizing training and events globally.
- Excellent German oral and written
- Good oral and written English required
